How to send SMS in office environment
When it comes to SMS sending in office environment capacity is not so crucial as stability and reliability. The reason for this is that in office environment usually only a few SMSs are sent per day but these SMSs can hold important information. For making sure that these SMS messages reach their target, the best SMS gateway software must be chosen. Below you can find some tips on how to realize SMS sending in office environment, what the most popular methods are and how to setup an SMS system for this purpose.
How to setup the SMS system
The first step in building a corporate SMS system for office messaging is to install an SMS gateway software. After installation the SMS gateway needs to be configured to connect to the mobile network via which it will send and receive the SMS messages. For this purpose there are two methods.
The SMS gateway software connects to the SMS center (SMSC) of the mobile service provider in two possible ways: either with the help of a GSM modem (GSM modem connection) or over the Internet (IP SMS connection).
Option 1. GSM Modem Connection
In case of this option a GSM modem (or GSM phone) is connected to the server computer.
Conserning connectivity you can use a standard RS232 cable, a USB data cable, Infrared or Bluetooh link. The standard RS232 cable is the most recommended to use because it can be attached directly to your PC’s COM port. The second option is a USB data cable. For these cables you will need to install a driver that will create a virtual serial port in your operating system. Bluetooth or IR connections are not recommended since these wireless links are unreliable.
The SMS gateway software will control the GSM device (modem or phone) and SMS messages are sent through this device. In this case SMS messages are forwarded to the SMS network over the air. They are sent the same way as they are sent when you use a traditional GSM handset for SMS messaging. If you use GSM modem connectivity you need a SIM card that you can put into the GSM device (modem or phone) for sending an SMS message. In this way, the price of the SMS messages is determined by the price plan you have chosen when you purchased the GSM device. The SIM card belongs to your GSM mobile service provider.
Option 2. – IP SMS Connection
If you don’t want to use or you cannot use a GSM device for some reason, you can connect directly to the short message service center (SMSC) of the GSM service provider over the Internet. This solution is called IP-SMS. In this case you need to contact your mobile service provider (e.g. T-Mobile, Vodafone, etc) and tell them that you wish to send SMS messages over the Internet directly to their SMSC. The next step is the signing of the contract with the selected service provider.
If you signed a contract with the GSM service operator then you will be provided by a connection protocol name (SMPP, UCP,CIMD2 or HTTP) and connection details such as IP address, Port, Username, Password. These pieces of information is used for the configuration of the connection in the SMS gateway software. Once you have finished the configuration you can start to send SMS messages from your computer to mobile phones over the Internet. The price of the message is determined by your selected service provider. Many service providers offer Free SMS Plans.
You can contact two types of mobile service providers:
1.) Mobile network operators (T-Mobile, Vodafone, Orange, O2, …)
2.) Independent SMS service providers (SMS Service providers)

Send SMS from Email programs
When the right SMS gateway is selected it can be easily implemented in the used email program. It means that Email-to-SMS (and even SMS-to-Email) messaging becomes available. With this solution office users will be able to forward their incoming email messages to a mobile phone as SMS text message.
Usually, the subject or the first few lines of the email can be forwarded as SMS because standard SMSs can hold maximum 160 characters.

How to send Email-to-SMS messages
Once the SMS gateway is configured you need to enable the Email forwarding functionality in it. A built-in SMTP server is also required for Email-to-SMS messaging and the DNS hostname that points to the IP address of the computer on which the SMS gateway has been installed needs to be specified. Then open the SMTP port.
Optionally, the SMS length can also be set. If you set the length to be 160 characters, the email message will be cut after the 160th character. You can also set only the email subject to be sent as SMS.
After you configured your Email to SMS system you can start sending Email-to-SMS messages. Open the email box and compose the message body. In order to send out your email message as SMS you need to specify the recipient’s address in the following way: telephone number of the recipient@hostname of the SMS gateway:
telnum@hostnameof.the.smsgw
Two-factor authentication
In office environment two-factor authentication is usually a widely used service. Two-factor authentication makes corporate IT environment safer and more reliable. It helps to handle corporate passwords in a secure way so authentication will only be available to authenticated people. Two factor authentication means that during login the user has to provide two secure information: his password, and a one time code he receives in SMS to his mobile phone. Two factor authentication can be used to improve login security or to sign critical transactions, such as wire transfer instructions in banks.
